This guide outlines the features and functionality available to Medical Assistant (M.A.) users within our platform. M.A. users play a crucial support role, assisting Providers in managing patient information and preparing documentation.
Census Management
- Association with Providers: M.A. users can be associated with one or more Providers within the system.
- Census Creation: M.A. users can create and manage censuses for their associated Providers.
- Provider Visibility: When creating a census, the associated Providers are displayed for easy selection.
- Facility Integration: The facilities associated with the selected Provider are automatically populated.
- Patient Management: M.A. users can add patients to the census of their associated Providers.
- Facility-Specific Censuses: M.A. users can create censuses specifically for any facility associated with their Provider.
- Patient Search: All patients associated with the selected facility are readily available in the top search results.
- Notes: M.A. users can create and add notes to patients within the census.
- Functionality Parity: All other census listing and detail features function the same for M.A. users as they do for Provider users.
Note Creation and Collaboration
- Drafting Notes: M.A. users can draft comprehensive patient notes using the full note editor functionality.
- Rich Text Editor: M.A. users have access to the same note editor features as Providers.
- ICD and CPT Code Integration: M.A. users can add ICD (International Classification of Diseases) and CPT (Current Procedural Terminology) codes to the notes, mirroring Provider functionality.
- Charge Drafting: M.A. users can draft patient charges within the note.
Important Limitations
- Note Signing: M.A. users cannot sign notes.
- Charge Submission: M.A. users cannot submit charges.
Workflow and Provider Review
- Provider Lockout (Unsubmitted Notes): The associated Provider cannot edit a note drafted by the M.A. until the M.A. submits it for review.
- Provider Access (Submitted Notes): The associated Provider can only open the note after the MA submits it.
- M.A. Editing (Unsigned Notes): The M.A. user can make changes to the note at any time until the Provider signs the note.
- Provider Editing (Submitted Notes): After the M.A. submits the note, the Provider can edit the note, including the note content, ICD codes, and CPT codes.
- Charge Submission Authority: Only the associated Provider can submit the charges that were drafted by the M.A.
- "Ready for Review" Indicator: Notes submitted by the M.A. will display a "Ready for Review" title, indicating they are awaiting Provider review and signature.
- Signed Note Indication: Notes that have been signed by the Provider will display an upload icon on the note icon.
- Post-Signature Restrictions: Once a note is signed by the Provider, the M.A. user cannot make any further changes.
- Deletion Restrictions: M.A. users are not able to delete signed notes.
- Charge Icon Visibility: The charge icon will not appear on the note after the M.A. adds draft charges, as the charges are not yet submitted.
Addendums
This section details how M.A. users can work with addendums.
- Addendum Creation: M.A. users are able to create addendums, even after the note has been signed by the Provider.
- Saving Addendums: M.A. users can save drafted addendums.
- Addendum Permissions: The ability to upload addendums is permission-based and can be specifically enabled or disabled for M.A. users.
Uploading Addendums (Permission Enabled)
- Upload Functionality: When the "upload addendum" permission is enabled, the upload button functions identically to the Provider role.
- Upload Status: Successfully uploaded addendums will display an "uploaded" status in the addendum list.
- PCC Permission Independence: Uploading addendums does not require separate PCC (potentially Person-Centered Care or similar) permission.
Uploading Addendums (Permission Disabled)
- Disabled Upload Button: If the "upload addendum" permission is disabled, the upload button will be disabled for the M.A. user.
Addendum Management
- Discarding Addendums: M.A. users can discard addendums.
- Editing (Not Uploaded): M.A. users can edit addendums that have not yet been uploaded.
- Editing Restrictions (Uploaded): Addendums are not editable after being uploaded.
