Overview
The Practice Patient List (PPL) is global list managed by Administrators for active patients within a facility. The purpose of the PPL is to reduce the provider's burden of Census management by simply providing a list of all patients within the facility for a given date of service. Providers do not have control over who is added or discharged from the PPL as this is strictly managed by the Administrators.

Admin Portal - PPL User Experience
Creating A PPL And Adding Patients
A patient must be imported into the PPL in order to be visible to the Provider within the PPL for that Date of Service (DOS).
An administrator can create a PPL and add patients to the PPL in two ways:
Creating And Adding Patients Through PPL Patient Tabs
- Login to the Admin Portal and navigate to the Practice Patient List screen using the navigation bar located at the top of the screen.
- Choose between PCC, Matrix or My Patient tabs:
- PointClickCare Patients tab - Displays all patients received from PCC that have been synced with the DocNow system
- Matrix Patients tab - Displays all patients received from Matrix that have been synced with the DocNow system
- My Patients - Displays all patients added into non-integrated facilities (DN Facilities) and any patients from PCC or MatrixCare which have been previously imported into a PPL.
- Import Integrated Facility Patient to PPL: If this is the first time importing a patient from an integrated facility (PointClickCare or MatrixCare) the admin must find the user in their respective tab (PointClickCare Patients or MatrixCare Patients). If the patient was previously added to a PPL this patient will already be displayed within the MyPatients tab within their respective integrated facility. Follow the instructions in #4 below for PCC/MatrixCare patient imports.

Import Non-Integrated Facility (DN Facility) Patient: Admins can navigate to My Patients tab and select the DN Facility to locate the patient they wish to add to a PPL.
- Click the checkbox next to the patient's name then click Import Patients.
- A popup will be displayed containing a dropdown with all PPLs created for the facility.
- Select the correct PPL by name and then click Add Patient
- If a PPL for the desired DOS does not yet exist it can be created by selecting Create New Patient Practice List from this dialog. Once the PPL for the desired PPL exists, the patient must still be added using the Add Patient Button
- Patients added to a PPL will also be added to any other PPLs in the future that already exist. For example, if PPLs exists for 08/01/2025, 08/04/2025, and 08/05/2025 adding a patient to 08/01/2025 will also add them to the PPL on 08/04 and 08/05 for that facility.
- The Admin can now view the PPL by navigating to the Practice Patient tab and selecting the desired facility. The patient will also be present on the PPL for all providers associated with this facility. Currently charting on this patient is only allowed using the Provider Portal>>Patient Practice List screen.
Creating And Adding Patients Through Create New Practice Patient List Button
- Login to the Admin Portal and navigate to the Practice Patient List screen using the navigation bar located at the top of the screen.
- If a PPL does not exist for the selected date of service, the administrator has the option to Create New Patient Practice List.
- The administrator confirms the correct day and facility and clicks save.
- Patients can then be added through the above Creating And Adding Patients Through PPL Patient Tabs method (e.g. Navigating to the PointClickCare Patients, MatrixCare Patients, or My Patients tabs)
Removing/Discharging a Patient from the PPL
An Admin can remove/discharge a patient from the PPL in two ways:
Discharging from the PPL
- Login to the Admin Portal and navigate to the Practice Patient List>>Practice Patient List tab using the navigation bar located at the top of the screen.
- Select the discharge patient icon (trashcan icon) to discharge the patient and select a reason for discharge.

3. Once the discharge reason is confirmed the patient will be removed from the current PPL for that DOS and any future PPLs that already exist within the same facility.
Discharging Using the Inactive Date Field

Edit the patient details by either navigating to one of the following screen
- Admin Portal>>Practice Patient List>>My Patients then select the Edit Icon
- Admin Portal>>Practice Patient List >> Practice Patient List then select the patient name then click the Edit icon
- Updating the patient's Inactive Date field will prompt the Admin for a discharge reason.
- Once the discharge reason is confirmed the patient will be removed from the current PPL for that DOS and any future PPLs that already exist within the same facility.
Copying a PPL
Admin can copy forward the patient practice list by using the Copy PPL To... icon.
Once the administrator clicks the icon they will have the option to choose a start date, end date, and the days of the week they wish the PPL to copy forward on.
Note: When choosing dates, any dates that already have an associated PPL will be circled in green.
Exporting a PPL for Printing/Viewing
Administrators and providers alike have the ability to download any facility's PPL they are currently viewing by clicking the Download icon. Once downloaded the administrator or provider can print the downloaded file for a hard copy.
Downloading Progress Notes in Bulk from the PPL
Administrators and providers have the ability to download progress notes in a zip file or send them to an email which contains a link to download the same zip file.
If choosing the email option any contacts added to the facility settings for the filtered facility will be available. Users may also add additional emails before choosing Send.
Downloading All Census Data in Bulk from the PPL (Wound Companies Only)
Administrators and providers have the ability to download progress notes and grouped wound assessment reports in a zip file organized by patient specific folders
Adjusting PPL Settings for Visible Columns
Administrators (and providers if the setting is enabled) can change which columns are available to view in the DocNow interface by selecting the settings cog icon within their PPL, and then selecting or deselecting the available options.
When the Allow Provider to Edit Column Settings checkbox is enabled each Provider will have the ability to customize the visible PPL columns independent of the settings applied by the Admin or other Providers.
Adjusting Settings for Visible Columns within an Exported PPL
Administrators and providers alike can change which columns are available to view in their exported PPL by selecting the settings cog icon within their PPL, choosing the Practice Patient List PDF Settings, and then selecting or deselecting the available options.
