Purpose
- Introduce DocNow user permissions and how to enable them.

Considerations
- ‘Permissions’ are used to authorize users for certain features as well as configure behavior and visibility.
- Related, ‘User types’ define access to modules, affect the user interface, and determine the major functions available for use. They align with the primary roles of stakeholders in the skilled nursing facility setting.
- Not all permissions are available to all user types
- Many permissions will only visible after corresponding Company Permissions have been enabled.

User Permissions:
Census
Add Patient to Census: (Company and User permission)
- Users can view the “Create new Census” button on the census screen and “Add patient search bar” from the census patient list if the permission is enabled.
- “Census new census” button will not show up to the user and he will not be able to add patients from any screen (e.g: Patient, Census, Census Patient List) if the permission is off.
Allow Tag to Patient (Company and User permission)
- By turning it on, The tags (which have been added from the practice settings) will show up on the census patient list with each patient. Users are allowed to add 1 or 2 tags against the patient. Users can also resolve tags on the Note editor by using the phrase “.tag@dn” .
Edit/Delete Patients
- Enabling this permission allows providers to edit or delete patients. This permission is enabled by default.
- Only patients that do not have any data such as notes or charges may be deleted.
Matrix
- By enabling it,”Matrix Patients” tab will appear in the patients tab on the user side. Users can import the Matrix patient into the “My Patient” tab and can add the patient in the census as well.
PCC
- By enabling it, “PointClickCare Patients” tab will appear in the patients tab on the user side. Users can import the PCC patient into the “My Patient” tab.
Recurring Census Encounter
- This permission appears after the Recurring Census Encounter company permission is enabled.
- Provider are able to configure a patient's schedule using a new Recurring Census dropdown available from the Dailey Census screen.
- When a new census is created on the date on which a patient is scheduled, the patient will be automatically added to that census for any provider.
- Any provider with a patient scheduled for the current date of service will receive a notification that the patient is schedule to be seen for that day.

Note writing
Allow Second Signing for Note
- When this permission is enabled, after the note has been signed a button shall be displayed at the top of the patient note with the text “Signature Request”.
- When a provider clicks “Request Signer” a drop down is displayed containing all Provider associated with that provider.

Prohibit Associated Provider Edit Notes
- Enabling this permission prohibits this provider from editing notes for their associated providers. The user can still view the note but the note editor will be disabled restricting the user from editing the note.
Spell Check
- If the spell check is enabled, the spell checker will correct the user if they make any spelling or grammatical mistake on the Editor.
Facility behavior
PCC Development
- This permission is allows connection to a training PCC facility.
- Please Note: Enabling this permission will disable providers ability to see patients and upload documentation to all other non-training PCC facilities.
- This permission is primarily used by DocNow internal testers.
PCC 2-Legged
- By turning it on, Users are allowed to upload both reports and notes without signing into PCC.
- Note: Setting needs to be changed by the facility-side administrator.
PCC 2-Legged for Note Uploading
- If the permission is enabled, the user is allowed to upload notes to PCC by clicking on the sign button, even if the user is not logged into PCC.
- Note: Setting needs to be changed by the facility-side administrator.
PCC 2-Legged Reports Upload
- By turning it on, users will be able to upload wound assessment reports to PCC from the upload icon in the Skin/Wound tab, even if the user is not signed into PCC.
- Note: Setting needs to be changed by the facility-side administrator.
Upload Progress Notes
- Users are allowed to upload notes on both Matrix and PCC without logging in to PCC, if this permission is enabled for the user.
Upload Wound Assessment Report
- By enabling it, users will be allowed to upload a wound assessment report from the CK editor, and in case of disabling, it will show a toaster “ You are not allowed to perform this Action” if you’re not signed into PCC.
Charges
Charge Capture
- In case of activating it, the user will be able to view, create and submit charges from the charge capture tab and from the CK editor (charge Capture).
- If it is disabled, the charge capture tab will not show up to the user hence he will not be allowed to create charge from any screen.
Enable Split Billing
When enabled providers will have an option in their charge capture to enable split billing for any encounter. The company permission for Split Billing must be enabled for this permission to appear.
- When a provider enables split billing for an encounter they must submit the charge before signing their note.
- When the provider signs their note they will choose the provider they are split billing with to co-sign the note with the co-sign drop down next to the sign note button. This provider must also have the Split Billing user permission enabled.
- FS modifier will automatically be added to the CPT code
- The co-signing provider will find the note to co-sign under the Co-Signed section of My Documents on their Dashboard
- In the corresponding charge file the charge will show the Co-signing provider's NPI under "Supervisor NPI" and the original signers NPI under "Provider NPI"
Prohibit Associated Provider Edit Charges
- Enabling this permission prohibits this provider from editing charges for their associated providers. The user can still view the charges but the Charge Capture items (ICD-10s, CPTs) will be disabled, restricting the user from editing the associated provider's charges.
Optional features
Dictations
- “My Dictations” tab will appear on the dashboard by enabling it. Users can add dictations from the “Mobile App” that will sync up with the user’s Portal.
Dragon Speechkit
- By turning it on, users will be allowed to add text on the note editor by using a microphone. Users can turn on the “Microphone” and the text will be written on the editor when the user will speak in the speechkit.
Enable AI Camera
- Enabling this permissions allows users to utilize the AI Camera functionality on the mobile application for wounds.
- This feature is currently under development.
Enable Auto Wound Assessment
- Enabling this permissions allows users to utilize their device camera for an Auto Wound Assessment on the mobile application for wounds.
- This feature is currently under development.
Enable DocSense AI
- Enabling this permissions allows users to utilized the DocSense AI dictation tool to intelligently fill out notes.
- This feature is currently under development.
Enable MIPS
- Users must have this permission enabled to submit MIPS.
- This permission is only applicable for practices that are submitting MIPS or eCQMs.
Scriptsure
- By enabling it, the e prescription “Rx” icon will appear on the patient details screen and the census screen.
Supervisory Signer Required
The Supervisory Signer functionality introduces a review and sign-off process for documentation and billing. When enabled, it restricts providers from directly signing and submitting their notes and charges. When enabled, the user cannot submit their own notes and charges.
Considerations:
- Only the provider who needs their notes reviewed should have this permission enabled. The Supervising Providers should always have this permission disabled.
- The originating provider and supervising provider must be associated.
- The originating provider must have a Specialty selected.
- The company permission Show Specialties must also be enabled.
Workflow:
- When the originating provider finishes a note they choose the Submit For Review option which will prompt them with a provider they are associated to.
- The associated supervising provider will receive a notification and find the note in their dashboard in the Signature Request section.
- The supervising provider can then edit the note and return to the originating provider for further edits or can sign the note.
- The note is not signed and uploaded until the supervising providers signs the note.
- Once the note is signed the supervising provider's NPI should populate the provider NPI field for billing information.
Telemedicine
- By enabling it, the user is allowed to view the “Telemedicine” tab in Sidebar of Editor.
