DocNow EHR Standard User Types

Purpose

Introduce DocNow user types and their respective capabilities.

Considerations

‘User types’ define access to modules, affect the user interface, and determine the major functions available for use. They align with the primary roles of stakeholders in the skilled nursing facility setting.

‘Permissions’ are used to authorize users for certain features as well as configure behavior and visibility.

Not all permissions are available to all users.

User Types

Provider 

• For medical providers who are charting and billing visits
• The primary user type for clinicians.
• Largest feature set and most configurable.
• Attending providers will need the 'Provider' user type in order to complete their primary workflows.
• DocNow EHR's flagship user license and fee structure is for providers. Other user types incur nominal fees or are included.

Nurse

• For nurses on the facility side needing visibility into notes
• The ‘Nurse’ user type allows for the facility-side clinicians to view and export notes specific to the patients in their building.
• This allows practices and clinicians to show value to facilities with a user type that quickly surfaces relevant charts.
• Nurses are associated with facilities in the admin portal to gain view only access to the information for those facilities such as notes. 

Wound Nurse

Wound Nurse user type allows practices to provide more robust documentation from their entire care team. 

They can do the following: 

• Create their own wound assessments.
• Sign their own notes for patients.
• The wound assessments can be used by providers within DocNow for their note documentation.

Biller

• For inhouse or external billers, coders, and staff of revenue cycle management companies.
• Access to DocNow’s billing module, where billers can complete workflows specific to their role.
• Bidirectional communication with providers.
• Billers have a dashboard that allows them to see charges and notes as well as download reports related to both. 

Medical Assistant

• Allows MAs access to the main workflow modules: Patients, Census, Smart Drive, and Note Writer.
• MAs perform most functions of providers, barring note signing and charge submissions.
• For Scribes as well.
• MAs are associated to providers which gives them access to the same facilities and patients. 

View Only User

• Similar to the ‘Nurse’ role, but for users internal to your practice.
• Additional visibility into the Patient and Documents modules.
• View only nurses are associated to providers to give them view only access to the same facilities and patients as the provider they are associated with. 

Business Officer

• Primarily for administrators and personnel supporting the main provider workflows.
• Useful for lead administrators who configure DocNow for the practice and providers.

Scheduler

• The primary user type for the appointment module.
• Schedulers can create calendars, appointments, working hours and more on behalf of providers.
• Useful for the clinic setting and encounters specific to a certain patient, time, and location.
• Collaborative feature set with provider.
